This month the Club has reached 180 members, a new milestone. I thought that one of the things I would do with my section of the Newsletter is to share some of the topics that were discussed at the monthly Executive Meetings. At our last meeting, we discussed a procedural matter in our monthly meetings. It has been the practice to call for a motion at each meeting to approve the minutes of the previous meeting. These are (usually!!) posted on a bulletin board at the back of the room. It is likely the case that very few people get to review these (there are too many interesting people to talk to and better things to do?) so we were, in effect, asking members to approve minutes they had not really seen. More importantly, we also did not have a procedure to inform members who were not in attendance at a meeting of any salient discussions or motions. The Executive has taken the decision to include a summary of the minutes of the monthly meetings in the newsletter to rectify both points, so we communicate more completely and so that we can ask for a motion to approve the prior minutes on the basis of all members having had a good chance to see them. We also discussed several approaches to using the new postcards we have for advertising the upcoming Park Royal and Capilano Mall shows. The approaches we will follow is described later in this newsletter. Some other items currently under discussion; · A Strategy to apply for participation in Harmony Arts Festival this year. The Festival board seems to have an approach of rotating participation of art groups, · A discussion to determine the maximum size of paintings submitted for jurying. The balance here is between the restricted space we have on our display panels to handle a certain number of paintings, and the size of any individual entry. The current rule is that neither dimension of a painting can be more than 40". Before we review this further we will assess the possibility of purchasing more panels as this may alleviate the situation.. · The Club is governed by a Constitution and Standing Rules. Unfortunately, the current copy of these seems to be several decades old and in need of some revision and updating. Edith Warner, our Past-President had kindly agreed to key the document into a text processor, address existing formatting issues and review those provisions that need some updating. The target is to have this done in time for our Annual General Meeting in June, as any revisions to the document requires approval of the membership. · We also discussed that as the Club activity and accomplishments are fueled by many volunteers, which is also an expectation and requirement of membership, we may need to enhance our approaches to linking current requirements to potential volunteers. If any of you have a bit of time and an interest (general or specific) in helping out, we do have a number of requirements currently. Let me know.
